Below you will find an overview of the event planning process for Event Producers, in addition to information for upcoming events that have been approved.

Special Event Permit Applications
It is our goal to assist event organizers in planning safe, fun, and successful events. As you consider bringing an event to Snowmass Village, the information below will help you get started.

Does your event require a Special Event Permit?

In general, any event or activity involving the use of the following requires a special event permit:
  • Public property or facilities
  • Town Parks and/or Trails
  • Sidewalks, roads, and public right of way
  • Temporary use of private property that varies from its current land use
  • Impacts on the site or surrounding area will occur (including but not limited to visual, noise, or environmental impacts)

Our easy to use online permitting systems make applying for a permit easy, and we will help you every step of the way.

Understand the Application Process:

Small Events
Small events, such as birthday parties, can reserve Town parks and facilities by visiting the Parks, Recreation and Trails website.

Large Events

Apply for a special event permit online by following the link below:

Application Steps:

1. Submit a pre-application summary for conditional approval

Your pre-application is the first step of the application process and helps Town Staff understand the details of your event before you take the time to submit an entire application. Upon review and conditional approval, you will receive an email notification from our system directing you to provide specific information for the rest of the application.

The pre-application should be completed at least 60 days prior to your event date.

2. Complete the application with plan details

Once you have received conditional approval, you will need to add the details of your plan to your application depending on the scope of your event. Applicants are encouraged to contact Town staff to help develop the details of their plan.

The application should be completed at least 30 days prior to your event date.

3. Upload other permits and licenses

You may also need to apply for other permits and licenses, (e.g. alcohol license, temporary business license, food service license, etc.) which will need to be uploaded with your event application.

4. Pay Permit Fee & Agree to Conditions of Approval

A $500 permit processing fee is due before final approval. Non-profits and other entities may request a fee exemption.

Your final sign-off acknowledging the terms and conditions of the permit is the final step. Town staff will then finalize and upload your official permit online.

5. Debrief after your event

After your event, a debriefing is done electronically to ensure both Town and Special Event Staff learn from their recent experiences. These lessons learned are then utilized for the next time you host a special event.
